Terms of Service
Last updated:
These terms explain the responsibilities that come with using Agency Assistant for bookings, artist management, documents and connected services.
1. Acceptance
By creating an account or using Agency Assistant (the "Service"), you agree to these Terms of Service. If you are using the Service on behalf of an organisation, you confirm that you have authority to bind that organisation to these terms.
The service is provided by Agency Assistant, based in the Netherlands. For legal or service questions, contact hello@agency-assistant.app.

2. The service
Agency Assistant is a platform for talent agencies and music professionals to manage bookings, contracts, invoices, artist logistics, and related business operations. We reserve the right to add, change, or remove features at any time. We will try to give reasonable notice of significant changes.
3. Your account
- You are responsible for maintaining the security of your account credentials.
- You must provide accurate information when creating your account.
- You are responsible for all activity that occurs under your account.
- You must notify us promptly if you suspect unauthorised access to your account.
Workspace owners are responsible for their invitations, assigned permissions and authority to use information about artists, staff, promoters and other people. You must have the legal capacity and permissions needed for the work you carry out through the service.
4. Acceptable use
You agree not to:
- Use the Service for any unlawful purpose or in violation of any applicable law.
- Upload or transmit content that is harmful, fraudulent, or infringes third-party rights.
- Attempt to gain unauthorised access to any part of the Service or its infrastructure.
- Reverse-engineer, copy, or resell any part of the Service, except where applicable law permits it.
- Use the Service to send unsolicited commercial messages (spam).
- Interfere with or disrupt the integrity or performance of the Service.
5. Your data
You retain ownership of all data you input into the Service, including artist information, booking records, contracts, and financial data. By using the Service, you grant us the right to process this data as necessary to provide the Service. We will not use your business data for any purpose unrelated to operating or improving the platform. See our Privacy Policy for more detail.
You are responsible for the accuracy and lawful use of uploaded information, the recipients you choose and any content you make available through public or shared links. Access and deletion requests are handled under our Privacy Policy and applicable data-processing terms. Our Data Processing Agreement describes processing on behalf of workspaces.
6. Payments and billing
Paid subscription plans, if applicable, are billed in advance on a recurring basis. Payment processing is handled by Stripe. You are responsible for all charges incurred under your account. We reserve the right to suspend access if payment is not received. Refunds are handled on a case-by-case basis. Contact us if you have a billing dispute.
The price, billing interval, trial conditions and included features shown at checkout or agreed with you apply to your subscription. You can cancel renewal through the available billing controls or by contacting us. Cancellation does not automatically refund charges already due, except where required by law or agreed with you. Mandatory consumer rights are not affected.
7. Intellectual property
The Service, including its software, design, and content, is owned by Agency Assistant and its licensors. Nothing in these terms transfers any intellectual property rights to you. You may not copy, distribute, or create derivative works from any part of the Service without our written permission.
8. Google Calendar and connected services
Optional integrations operate only after the required authorization. If you connect Google Calendar, you authorize us to read your calendar list and manage Agency Assistant booking and hold events in the calendar you select. Google's own terms and account policies also apply.
You are responsible for choosing a suitable calendar and checking its sharing permissions. Booking information sent to a shared calendar can be visible to people who have access to that calendar. Synchronization may be delayed or interrupted by permission changes, expired authorization, provider outages or rate limits. Calendar sync is not a substitute for checking the current booking record.
Google Calendar controls are temporarily hidden. Hiding the controls does not delete stored connection data or itself stop an existing authorized sync, which can run in the background without your browser open. You can revoke access through your Google Account connections and contact hello@agency-assistant.app to request deletion of stored connection information. Revocation stops future authorized access but does not itself delete stored data or calendar events.
When the controls are restored, disconnection attempts to remove workspace-created events from the currently selected calendar before deleting the stored connection and tokens. Failed cleanup can remain pending and require a retry. Removal of legacy events, copies or events on previously selected calendars is not guaranteed. Disconnecting does not delete your workspace booking records. Our Google Calendar privacy disclosures explain access, storage, deletion and Limited Use commitments.
9. Documents, AI and communications
You remain responsible for reviewing contracts, invoices, tax information, payment instructions, itineraries and AI-generated suggestions before approving or sharing them. Templates and AI tools are not a substitute for legal, accounting or other professional advice. We do not become a party to your artist, promoter or venue agreements by providing the platform.
Review the document version, recipient details and signing authority before sending. An email being accepted by a delivery provider does not prove that it reached the recipient's inbox. Electronic-signature validity and record-keeping requirements depend on the transaction and applicable law.
10. Service availability and warranties
The Service is provided "as is" and "as available" without warranties of any kind, express or implied. We do not warrant that the Service will be uninterrupted, error-free, or free from security vulnerabilities. We are not responsible for errors or omissions in data you store through the Service.
11. Limitation of liability
To the maximum extent permitted by law, Agency Assistant shall not be liable for any indirect, incidental, consequential, or punitive damages arising from your use of or inability to use the Service (including loss of profits, loss of data, or business interruption) even if we have been advised of the possibility of such damages. Our total liability for any claim arising from your use of the Service shall not exceed the amount you paid us in the three months preceding the claim.
Nothing in these terms excludes liability or rights that cannot lawfully be excluded or limited. Any mandatory statutory protections take priority over these terms.
12. Termination
You may stop using the Service at any time by closing your account. We may suspend or terminate your access if you breach these terms, or for operational reasons with reasonable notice. On termination, your right to use the Service ends. You may request an export of your data before closing your account.
Closing an account does not automatically cancel agreements you made with artists, venues or promoters, erase records that must be kept by law, or revoke access you granted directly to another service. Contact us before closure if you need help exporting records or disconnecting integrations.
13. Changes to these terms
We may update these terms from time to time. We will notify you of material changes by email or through the platform. Continued use of the Service after updated terms take effect constitutes your acceptance of the changes.
14. Governing law
These terms are governed by the laws of the Netherlands. Any disputes arising from or relating to these terms or your use of the Service shall be subject to the exclusive jurisdiction of the competent courts in the Netherlands, unless mandatory local consumer protection law in your country of residence requires otherwise.
15. Contact
For questions about these terms, billing, account closure or support, contact hello@agency-assistant.app.
